The receipt for your goods and the contract for their transportation. It is your responsibility to understand the bill of lading before you sign it. If you do not agree with something on the bill of lading, do not sign it until you are satisfied that it is correct. The bill of lading is an important document. Don't lose or misplace your copy.

C.O.D.
Transportation for a private shipper for which payment is required at the time of delivery at the destination residence (or warehouse).

Expedited Service
An agreement with the mover to perform transportation by a set date in exchange for charges based on a higher minimum weight.

Order for Service
The document authorizing the mover to transport your household goods.

Peak Season Rates
Higher line haul charges that are applicable during the summer months.

Shuttle Service
Use of a smaller vehicle to provide service to residences that are not accessible to the mover's normal linehaul equipment.

Storage-In-Transit (SIT)
Temporary warehouse storage of your shipment pending further transportation, for example, if your new home isn't quite ready to occupy. Prepare to move your office .
The most important part of moving a company and its office  is to plan everything in advance. Office removals companies can relocate your office professionally and with the least disruption. Companies are structures which are  usually about making money. So, if the company is not up and running, but instead moving, then the company is not making any money. The major goal in a corporate move is to be cost-efficient. One of the ways to obtain this goal is to be time-efficient. The less time you spend moving, the more cost-efficient you will be for your company.

In order to save time, make sure you are very familiar with your new location and offices. Know exactly how large (take measurements) the new rooms are. Notice any differences in shapes of the rooms or new furniture. You want to make sure your old or new desk, chairs, filing cabinets, etc. fit inside your new space. To make sure that everyone knows his or her new dimensions, a floor plan should be created before the move. This plan should include, by floor, location of employees, furniture, plants, and whatever else you are bringing to your new location. Make sure that every employee receives a copy of this plan and that you post them on the building on moving day. Being organized before the move will not only reduce the stress for the employees, but for the movers as well.

Make sure that everyone knows for the incoming move

Communication is key when it comes to a corporate move. Make sure that everyone (employees, landlords, movers, renters, etc.) is aware of every detail. They need to know the exact moving plan before the actual move. The less questions on the day of moving, the better. The movers need to be told exactly where each piece of furniture needs to be placed. If you have many desks that look the same, but belong to certain employees, make sure they know that they need to go in certain places. One way of helping out the mover is by using colored labels. All of the furniture that belongs on one floor can be labeled a certain color and you can even get more specific. Label colors and numbers to each employee. Labeling is a very important tool in moving offices. Be sure to label all equipment and furniture that is being moved. The label needs to be placed in spot that is very easily visible to the mover. The easier and more understandable you make the move to the mover, the faster the move will go. Time means money.

Supervisors: It is your responsibility to have your staff follow the instructions in the Office Removals Guide. Be sure employees in your department or section receive an Office Moving Guide. Personnel will be functioning in the new offices on a normal basis immediately after reporting to work, if the move is properly preplanned.

Employees: You will be responsible for your own packing of certain items before the actual move. Follow the instructions in the Office Moving Guide. They will be of assistance to you, not only before the move, but when you unpack in the new office.

Items Being Moved
Any items inside of bookcases, shelves, desks, wall units, or cupboards should all be packed securely in boxes. Filing cabinets do not need to be emptied. Just make sure that they are locked or securely fastened with string or heavy packaging tape.

Personal Items: The mover cannot be responsible for your personal possessions, such as legal papers, money, lighters, fountain pens, pictures, plants, etc. For your own protection, we suggest you move these items privately. If you need special containers, ask your Moving Consultant.

Desks: Pack all contents. This includes current working papers, letter trays, books and other desk items. Seal paper clips, pencils and all other loose materials in envelopes and then pack them in boxes. Protect all glass with paper or other stuffing.

Security Files: All files should be locked prior to moving. If security regulations require escorts, advise the Moving Consultant and he/she will make arrangements with the mover. Security files may then be consolidated.

Supply or Storage Cabinets: Pack all contents in boxes. Cabinet doors should be locked or tied.

"Do Not Move": If items are not to be moved or if equipment and furniture are to be discarded, be sure to tag them with "Do Not Move" labels. This will eliminate any unnecessary expense.

Garbage
Make sure that you throw away as much garbage as possible before the actual moving day. It is possible to get permission from the city to have industrial size dumpsters placed in front of the building if you have an excess amount of garbage to throw away. The more you throw away, the less you have to pack and haul with you. Make sure that nothing important gets thrown away.

Access to Floors Above Ground Level
Be sure to examine the building before hand and be aware of all elevators. Make sure they are in working order and large enough to move the furniture. If there are no elevators, be sure to inform the moving company so they can come prepared.

Moving Electrical Machines
Before moving any technological machines, make sure you know what you are doing. Many machines need to be handled certain ways. If you are renting any of your equipment, make sure you notify your rental company before the day of the move. Disconnect and dismantle computers properly. Make sure there is an employee that knows what he/she is doing when taking apart the equipment. Remove all fluids from the photocopy machines. There may be loose parts that can easily be lost, so make sure that all parts are securely fastened or put them in a separate box close by. Remove all items from the vending machines. Empty water from any water dispensers. Make sure to take extra notice to any machines that are dismantled. Items get lost very easily in a move.

Here's a simple checklist to make sure nothing gets left behind or overlooked:

• Desk empty?
• Supply cabinets cleared?
• File cabinets cleared?
• File drawers locked?
• Wall items taken down?
• Breakable items properly packed?
• Computers and other machines disconnected?
• "Do Not Move" tags placed?
• Liquids drained from equipment?
• Desk pads and chair pads labeled?
• Have a set of spare keys available.
• Make sure that your Internet connection is ready to go and that the phones and fax machines are working. The sooner you get back to work, the sooner you can continue working and making money.
• Make sure the electricity works.
• Make sure the bathrooms work.
• Don't forget to throw away (or use as scratch paper) any old stationary that has your old address on it and create new stationary with the new address on it.

You can also purchase the cardboard dividers (cells) separately. Just make sure they will fit whatever size box you're using.

6-8 Weeks before your move:

• Organisation is vital to enable a smooth running move and this is the key time to start piecing together the details of your move.
•This is the best time to decide which items you wish to transport to your new home. If you decide to dispose of any items you don’t need, you can either donate them to a charity or hold a garage sale. Contact a local charity or pick a date at least two weeks before your moving date to hold the garage sale. Advertise the garage sale in your local area. Perhaps team up with your neighbours who are looking to sell some old items, and plan a large neighbourhood sale.
•If you are planning to pack your belongings yourself, start collecting suitable moving and packing supplies.  You can purchase all of these materials from your removal company or a moving supply company. All boxes that you purchase from our suppliers or a removal supply company are specially designed to prevent any damage to your belongings. If you do find boxes from other sources, make sure they are strong and sturdy as they may create some difficulties once packed in the van. Try and find boxes of similar sizes so they can be stacked neatly and safely.
•Consider the layout of your new home and create a floor plan noting where you would like to place your furniture.  This can prevent any stress when it comes to making a decision once your furniture arrives at your new home.
•Familiarise yourself with your new community and area. Try and find out any information on local schools, community programs, parks, and facilities from your local council.
• Organize any necessary travel arrangements for your family in advance (hotel, flights, car rental, etc). Try to keep your plans as flexible as possible to accommodate any changes or delays.
• Keep hold of all receipts for moving related expenses in a separate moving folder. Several moving expenses are tax deductible.  Contact your local tax office to obtain any relevant forms.
• Finalise all real estate and rental issues.
• Contact your insurance company in advance to transfer any medical, property, fire and car insurance details.
•All medical and dental records should be placed in a safe and accessible place. Make sure you include prescriptions, vaccination records, and eyewear specifications.
• If you have any important documents, such as wills, stock certificates, and other important or valuable items (jewellery, photos etc), make sure these are sorted in advance and put in a secure place.

4-5 Weeks before your move:

• This is a good to time to take a look at what you own and sort out what must go and what can be left behind or thrown away. Any items such as old books, magazines, broken items, old toys can be recycled or donated if in good condition. Remember that any extra weight to your shipment will cost you more.
• Organise your move by making lists separating which items you will not be transporting, which items your removals company will take, and which items you will move yourself.
• Decide what to do with the items that are not going with you. I.e. garage sale, charity donation, recycled or disposed of.
• Decide who will do most/all of the packing. It is advisable that you let the removal company do the majority of the packing as they are familiar with the best methods for keeping items safe and secure.
• Involve your children in the moving process. Let them help with packing and perhaps get them to suggest a layout for their new room. Make it as fun and exciting as possible.

3 Weeks before your move:


• Notify your removal company if there are any changes in the dates of your move. If you need any additional services such as piano moving, packing and unpacking, and storage facilities, you should inform the removal company for any pricing lists/ information. Inform the removal company if you add or deduct any items from your original planned shipment.
• Decide how much packing your will be doing yourself. Inform your movers of any items that you would prefer him/her to pack.
• If you are transporting your car via a car carrier, finalise the reservation and date and time of the pick up.
• Consider giving your plants to friends or a charity if you are moving long distance. Some state laws prohibit the moving of houseplants.
• Finalise any transportation arrangements for your pets. Take your pets to your veterinarian to update any health certificates, vaccinations, and rabies inoculations. Some states will require these documents.
•It is advisable to carry all valuable jewellery with you. If you have any valuable items around the house, collect them before leaving.
• Return any borrowed items, I.e. library books. Collect all items that are being repaired, stored or cleaned.

2 Weeks before your move:


• Transfer all prescriptions to a pharmacy in your new area. Call your bank to find out how to transfer your accounts or change your address. Clear out any safety deposits boxes.
• Disassemble and disconnect your computer system before you move. Back up all your computer files on a disk or memory stick. It is a good idea to take these back up disks/ sticks with you in the car. Any exposure to extreme temperatures can damage your software.
• Clean and clear out any closets, basement and attics.
• Dispose of items considered hazardous and prohibited from being shipped.
• Tape and seal all cleaning fluids that are non-toxic, non-flammable in and store in plastic bags.
• Drain your lawn mower, snow blower, and power tools of any oil and gasoline to ensure safe transportation.
•If you are in need of storage facilities, contact your removal company about the options available to you.
• Inform gas, electric, cable, telephone, and internet services of your move. Arrange to have them disconnected the day after your scheduled moving day. Sign up for these services at your new address and ensure they are connected on the day you move into your new property.
•If you are travelling by car to your new location, get your car checked out in advance to make sure it is in good working order and you have a safe, reliable trip.

1 Week before moving:

• Mark clearly which items you are planning to take yourself. This will save time and any hassle for both you and the removal staff.
• Check all cupboards, basement, garage, built in storage, for any forgotten items.
• Mark your boxes to be shipped appropriately, I.e. Fragile, Do Not Load, Load Last.
• Empty, defrost and clean out your refrigerator and freezer. Clean your stove with a specific oven cleaner, at least 24 hours before moving, to let them air out. Try using baking soda to get rid of any bad odours.
• Prepare any items you will need whilst your goods are in transit. Pack your suitcases and confirm travel arrangements for you and your family. Try to keep plans as flexible as possible in the event of unexpected delays or schedule change.
•Provide your removal company with your address and phone number of your new home. You should also provide an address and phone number of where you can be reached until you arrive at your new home, in case there are any problems.
• Arrange payment of the removal services. Contact your company to enquire about methods of payment accepted.
• Enquire with your moving company or van line agents about protecting your goods.

1 Day before moving day:

• Pack a box of items that you will need as soon as you arrive at your new home. This could include non-aerosol cleaning supplies, disposable plates and cups, light tools, snacks, bathroom items, rubbish bags, and of course – a kettle!
• Take this box with you or ask the van driver to load it last and unload first.
• Make sure all packing services have been carried out before you sign for them.
• Defrost, and thoroughly clean the refrigerator.

Moving out day:

•Be present at the property when the driver arrives and throughout the duration of the loading process. If you can not be there, arrange for someone trustworthy to meet and direct the movers. Make sure the driver has confirmation, and the name and phone number of that chosen person.
• Accompany the driver during throughout the inventory. Check on the condition of your goods as they are being loaded.
• Carry out a final tour of your home and ensure that nothing is overlooked.
• Sign the bill of lading and make sure your new address and phone number are correct.
• Lock all windows and doors, and turn off all switches, gas and water.

Moving in day:

• Arrive at your home a day in advance if possible, to make sure utilities are connected. You can then prepare the arrangement of any major items in your home.
• Be present at your new home to pay the driver the outstanding balance with cash, cheque, or card, once work has been completed.

International Moving Services - Shipment of Your Vehicle

If you are planning to ship your vehicle internationally, you should expect plenty of overseas restrictions and regulations. Import limitations differ from country to country and it is advisable to research the allowances of your destination country.
 
Here are some things to bear in mind regarding shipping your vehicle in an international move:
• Is the cost of vehicle insurance to cover the transportation within your range?
• Do you have the correct license allowing you to drive in your new country?
• Does your vehicle meet the environmental standards required in that country?
• Is the cost of shipping your vehicle within your budget?
• Will it be easier and more affordable to purchase a vehicle in your new country?

Packing Dishware

• Select a medium-sized carton (or dish pack provided by the mover), and strengthen the bottom of the carton with crumpled pieces of packing paper.
• Place the packing paper on a sturdy work surface, and place one plate in the centre of the paper.
• Take a corner of several sheets of packing paper and wrap over the plate until completely covered.
• Stack a second plate on top of the first and, moving clockwise, take a second corner and pull sheets over the second plate.
• Stack a third plate. Holding the two remaining corners, fold two sheets of each corner (one at a time) over the plate.
• Turn your wrapped stack of plates upside down onto some more sheets of packing paper.
• Re-wrap the entire bundle starting with one corner of the packing paper and pull two sheets over the bundle. Do this with the next corner, then the third corner; and finally, the fourth, ensuring the entire bundle is wrapped up firmly.
• Secure the bundle with packing tape.
• Place the bundle of dishware into a medium-sized box so that the plates are standing on their edge.
Use this process on all saucers, butter dishes, and other breakable dishware. When packing smaller dishes, you may choose to stack in greater quantity.

Packing Cups

• Place the packing paper on a stable surface and position one cup six to eight inches from one of the corners.
• Now pull the near corner of the paper over the cup.
• Place a second cup directly on top, with the handle pointing left (second cup should ‘nest’ itself within the packing paper folded over the bottom cups).
• Pull the two side corners of the paper up and over, one at a time, and tuck corners inside the top cup.
• Hold the bottom and top cup in position and roll cups to the remaining corner. Fragile mixing bowls may be rolled in the same manner.
• Delicate cups, including china, should be wrapped one at a time in individual paper. Antique glass or china should be stuffed with crumpled tissue first and wrapped one at a time.

Packing Glasses and Stemware

• Stuff glasses and stemware with crumpled tissue or packing paper before wrapping up individually.
• Place the glass on the corner of the packing paper and roll it one or two full rotations (depending on size). Pull the sides of the packing paper up and over the glass/stemware, and continue rolling to the far corner.
• Corrugated paper rolls or cellular boxes are good to use for added protection.
• Place glasses and stemware towards the top of your box. Heavier items (dishware, pitchers, etc.) should be placed toward the bottom of the box. Make sure no loose items are rolling around the box.

Delicate glassware and stemware should be placed in an upright position, not on their side. No matter what you're packing, you should use crumpled packing paper in between each layer to ensure a tight fit wherever there is a gap. All boxes with fragile items should be marked accordingly and clearly.
Specialized Packing Tips
The list of individual household items is endless and sorting out how to pack them all up can be frustrating. Most items can be packed by following our handy packing pointers. Bureau Drawers:

Don't overload. This can lead to substantial damage. Remove firearms and any items that might break or leak. Firearms, along with serial numbers, must be registered with your van line representative before the move.
 
Canned Goods and Other Non-Frozen Food:

 Pack upright with no more than 24-30 cans per carton. Do not attempt to move perishables. Wrap glass containers and boxed foods individually and pack into smaller cartons, making sure any opened items are positioned upright.
 
Frozen Foods and Plants:

 Due to the delicate and perishable nature of these items, your mover is prohibited from accepting these packed items if your shipment is being transported more than 150 miles and/or delivery will not be accomplished within 24 hours from the time of loading. Frozen food shipped within these guidelines must be packed in a freezer, at the normal deep-freeze temperature, at the time of loading.
 
Clocks: Remove or secure the pendulum in large clocks. Grandfather clocks should be prepared for moving by insured, expert servicemen.
 
Drapes and Curtains:

Hang drapes over crossbars in wardrobe cartons, or pack folded in clean cartons or bags. Remove curtains from any rails or rods and fold and pack into cartons, bureau drawers, or bags.
 
Flammables and Combustibles:

Flammable liquids and aerosol cans must not be packed. Changes in temperature and pressure can cause them to leak, or even explode. For your own protection, you should be aware that if you pack these items and they cause damage to your shipment or others, you may be held liable, not your mover.
 
Lamps and Lampshades:

Remove bulbs, harps and lampshades and roll up any loose cord or wires. Pack lamps with bedding or wrap separately and place upright in a clean, tissue-lined carton. Carefully wrap the harp and finial (decorative knob) with packing paper and tape to the inside wall of the carton containing the shade. Wrap shades in tissue, not newspaper, so that no ink will rub off, and place them upright in large cartons, lined with tissue or soft packaging.
 
Medicines:

Seal caps with masking tape to avoid any spillages. Wrap with paper and pack upright into bags and place in small cartons. If you need the medicine during the move, carry with you.
 
Mirrors, Paintings and Pictures:

Highlight any special care needed for any valuable pictures, paintings and mirrors, to your moving agent in advance. Wrap smaller items individually and place on their edge in the cartons. Place large pictures and paintings on their edge in heavy cardboard containers. Large wall or dresser mirrors can be taken down by the movers and placed in special cartons. For added safety, place tape diagonally across any mirrors to protect against any potential damage. Do not place any newspaper directly against the paintings as ink may rub off.
 
Personal Computers and Video Recorders:

Pack valuable electronic equipment in any original cartons if you have them available. If not, use strong, corrugated cartons and place protective padding on the bottom of the carton. Wrap an old blanket or protective pad around the item and place it in its carton. Place additional padding between items to prevent any damage. Wrap cords separately, clearly label which appliance they belong to, and place in a plastic bag away from delicate surfaces. Non-detachable cords should also be wrapped carefully around the appliance. Make sure your items fit snugly into the boxes and are not moving loosely around.
Silverware:

Wrap each piece in cloth or low sulphur content paper to prevent tarnishing. Wrap an old blanket or moving pad around the silverware chest to prevent any damage.
 
Tools:

Drain any excess fuel from power tools (do not transport flammables under any circumstances). Pack tools in small, strong cartons. Wrap any sharp edged tools separately.
 
Waterbed Mattresses:

Drain all water from the waterbed then, grasping internal baffle systems with external vinyl, fold the mattress 20 inches at a time. Adjust the folds to avoid making any creases across individual baffles. Consult your manufacturer’s manual for any special instructions concerning the care and transportation of your mattress. Do not place your mattress in a carton with any sharp, pointed, or rough objects.
 
Cars and Motorcycles:

Cars and motorcycles shipped on the moving van should be drained nearly empty of fuel. Motorcycle batteries should be disconnected. Automobile antifreeze should be sufficient to protect against the severe cold in winter.
 
Barbecue Grills and Propane Tanks:

Wrap grates and briquettes separately in newspaper or heavy duty plastic bag, and place parts in carton. Pad the carton with crumpled paper to reduce movement of contents. Propane tanks must be drained before the move. Consult your local gas grill distributor for the safest method.

Hints and Things

Here is a list of packing supplies which will come in handy:

• Plastic bags and colourful labels for easy identification.

• Foam peanuts, Styrofoam pellets or "popcorn" for added protection during the journey.

• Tissue or craft paper for delicate packing jobs.

• Corrugated paper rolls for figurines and fragile items.

• Gummed tape (1.5 to 2 inches wide) and/or strong twine for sealing cartons.

• Marker pens and labels for identifying contents of cartons.

• Notebook and pencil for carton identification log.

• Scissors and/or sharp knife.

Use only strong, corrugated cartons with covers. We can supply you with specialised cartons, designed for removals and can fit everything from mattresses, to clothing and mirrors. The added protection of mover-provided cartons may avoid damage that results from the use of poor-quality packing materials. 

An alternative is to collect boxes discarded by your *grocery or liquor store. Save old newspapers to pack fragile or delicate items, but remember that ink may rub off and stain clothing or other items.

 *WARNING: Insect eggs and insects such as roaches can travel in food boxes. Keep this in mind when getting boxes from food stores.

Notify your milkman and newspaper shop that you'll be moving  home.
Notify your telephone, gas, water, electric, bank and credit card Companies.
If you're renting you need to notify your landlord of your moving date.
Arrange a time to collect the keys from the estate agent.
Ask your house removals firm to help you with the packing.

Mark all boxes displaying destination room, contents and fragile items.

Know what you want taken and what is to be left.

Start getting rid of possessions you no longer need.

Forward your mail to your new address.

Purchase packing supplies, such as tape, boxes and wrapping papers or plastics. Buy stickers or red markers to flag fragile packages. See Packaging

Start keeping track of all moving expenses, because some might be tax deductible.

Don't load boxes too heavy, keep them manageable.

Be clear about what you want taken and what is to be left.

Get rid of rubbish and clutter before moving day, otherwise you may get unwanted rubbish at your new place.

Be there and give direction to the movers. Let the movers know what you want loaded first and loaded last.

Order packaging supplies at least few days before you move. Keep a few spare boxes for the day of the move.

You should label your boxes with their destination in your new home.  Write FRAGILE on all boxes with breakables so these can be stacked on top.

Hang numbered signs on the door of each room and write the same numbers on the boxes. (Example: "2nd Floor/Room 5").

If you have a pencil handy, sketch a sample layout of your house, number the rooms on it, and post the layout on the removal man for reference.

Load the rooms to be unloaded first and last. Whatever room is first from the entrance in your new home should be that room - unload back to front. The kitchen should be done at the very end, because heavy appliances should go in the van / lorry first.

Don't forget to have all your tools ready when you start unloading -  put your tool box in last in the truck.

Take all your valuable documents /passports etc./ and jewellery with you!
